ONLYOFFICE DocSpace 2.6 released: Form Filling Rooms, LDAP, polished room and file management, and more

The updated ONLYOFFICE DocSpace is here with more than 20 new features and improvements across the platform intended to make your work more effective and comfortable. Read on to discover all the enhancements.

Form Filling Rooms

Meet the new room type which allows organizing a straightforward form filling process for your projects in ONLYOFFICE DocSpace.

The first version of Form filling rooms can be used for simple tasks like working with fillable assignments, questionnaires, briefings, collecting feedback, etc.

Here, you can upload ready PDF forms to a room from your DocSpace or device with several clicks. Or make use of the integrated template library and choose among numerous ready PDF templates.

Where to find: New room -> Form Filling Room -> Actions

Invite your colleagues and team members to the room to fill out the uploaded PDF forms. You can also copy a public access link to share the room with external attendants.

When the form filling process is started, you will see two new sections appear in your room:

• In process contains forms in progress (forms which users have started to fill out but haven’t yet completed);
• Complete contains the filled forms (when users click Complete & Submit).

If you have several PDF forms within a room, the Complete and In process sections will include separate dedicated folders for each form.

In the Complete section, you can check the filled forms and conveniently analyze responses automatically collected into a spreadsheet. Everything – within one room.

Further updates for rooms

Other improvements for DocSpace rooms include:

• embedding public rooms as well as files from these rooms into your website or blog (the embedding settings are now accessible directly from the room);
• ability to copy a link to a folder or media file in public rooms for sharing with external users;
• duplicating rooms and folders.

Users

LDAP. Easily import users and groups to your DocSpace from a LDAP server. The added users will be able to authorize using their LDAP Server or Active Directory credentials. If necessary, you can enable the option to automatically synchronize data changes between your DocSpace and LDAP Server.

ONLYOFFICE DocSpace 2.6 brings useful novelties for the account management as well. Thus, you can use new hotkeys:

• ArrowUp and ArrowDown for lists;
• Enter and Backspace for groups.

What else, we updated user status filtering:

• Active means that the user account is activated.
• Pending invite means the user was invited to DocSpace by email, but did not follow the link from the invitation email.
• Disabled status means that user account is deactivated.

Improved file management

• Open documents for editing in the same tab (Profile -> File management -> Open ONLYOFFICE editor in same tab).
• Create new folders in dialogs Move to, Copy to, Restore, and Save copy as.
• Open a media file via an external link when sharing it from the Documents section.
• Faster loading and scrolling of large images via the media viewer (thanks to using a 3840×2160 thumbnail in 4K).
• Creation context menu is now available instead of the standard browser menu by right-clicking the mouse within DocSpace sections.

Updated room and file history

The room history now supports an extended number of entries for more precise tracking of changes. What’s new here?

For more comfortable user experience, the following improvements are also implemented:

• ability to change the language on the login page;
• optimized backup process with less memory consumption.
