ONLYOFFICE DocSpace integration for Zapier v1.1.0: guest invitation, updated room types and user roles

We have updated the ONLYOFFICE DocSpace connector for Zapier to version 1.1.0, introducing new room types, updated user roles, a new action for inviting guests, and other improvements. With Zapier, you can automate workflows by connecting ONLYOFFICE DocSpace with platforms like Slack, Asana, Trello, HubSpot, Gmail, Discord, Zoom, and more.

New room types

The connector now supports an enhanced variety of room types to meet different collaboration needs effectively. For now, you can choose the following room types to create an action:

• Form filling room – for collecting structured data via forms.
• Collaboration room – for team-based document editing and discussions.
• Custom room – a fully customizable space for specific needs.
• Public room – a room open for external access.

New action: invite a guest to a room

You can now automatically invite a guest to DocSpace rooms via Zapier. This makes it easier to collaborate with external participants, streamlining workflows and reducing manual effort.

Guest is a new user type introduced in version 3.0 of ONLYOFFICE DocSpace. Depending on the role in the room, guests can view files, edit files, or create new ones. Guests cannot access the Contacts or Documents sections and cannot create rooms.

For example, as soon as a user registers for a webinar in Zoom, they are automatically invited to the selected room with rights defined in the action.

Updated list of user roles for invitations

The list of roles available when inviting users has been updated. This ensures that users can be assigned appropriate roles that align with the latest capabilities of DocSpace, improving role-based access management.

Along with the existing roles to perform in rooms like Editor, Form Filler, Reviewer, Commentator, and Viewer, version 3.0 introduces:

• Room Manager – can manage room settings and participants.
• Content Creator – can create and organize documents within a room.

Role-based invitation restrictions

Invitation permissions are now based on the inviter’s role: users can only invite others with roles lower than their own.

The DocSpace owners or admins are now restricted to performing actions according to their role in the room. Their capabilities match the roles on the list provided to them.

This enhances security and ensures that only authorized users can manage access, creating a more controlled collaboration environment.
