Introducing ONLYOFFICE DocSpace app for Pipedrive: centralize document collaboration on Deals

The new ONLYOFFICE DocSpace integration app is released for Pipedrive to streamline document collaboration by linking your deal management with document editing. The app allows Pipedrive users to set up dedicated DocSpace rooms for each deal, offering a centralized space for securely managing, editing, and sharing office files.

About the ONLYOFFICE DocSpace and Pipedrive integration

ONLYOFFICE DocSpace integrates seamlessly into the Pipedrive Deals section, creating a collaborative environment where team members can work on documents tied to specific deals. Once the integration is installed, you can access it through the DocSpace frame in any Pipedrive deal.

Here are the app’s main features:

Seamless room creation. Users can create a dedicated DocSpace room for document collaboration directly from any Pipedrive deal.

Each room is automatically named according to the rule Pipedrive – Company name – Deal name.

Access control and synchronization. All Pipedrive users logged into the DocSpace app are added to the Pipedrive Users (Company Name) group.

DocSpace applies deal-specific permissions to each room, with access levels customized based on each Pipedrive user’s role.

• All users: the room becomes available to the Pipedrive Users group as well as the followers are invited by name.
• Item owner: the room is accessible only to the deal owner and the followers by name.
• Item owner’s visibility group: only the followers are synchronized (available in the paid version of Pipedrive).
• Item owner’s visibility group and sub-group: only the followers are synchronized (available in the paid version of Pipedrive).

Access levels to DocSpace rooms are automatically updated when users are added or removed from a deal in Pipedrive, keeping document permissions in sync with current deal participants.

A “Request Access” button allows users to easily ask for access to collaborate within specific rooms.

Document management. Users can manage various document types directly within DocSpace from the Pipedrive interface:

• Create new text documents, spreadsheets, slides, forms, and PDFs;
• Upload and organize existing files related to deals directly in DocSpace;
• Store all types of office files tied to deals in Pipedrive;
• Store and view media files.

Editing and collaboration. DocSpace allows deal participants to edit and collaborate on office files in real time or use paragraph-locking mode to focus on edits. Users can leave comments, track changes, and utilize version history to monitor document progress. Additionally, the integrated chat feature and video conferencing options facilitate seamless communication among team members.

Installation and configuration

1. Install the app from Pipedrive Marketplace and allow the requested permissions.

For Pipedrive admins

2. Log in to your ONLYOFFICE DocSpace account or start by signing up for a new account if you are new to DocSpace. Even if you are already logged into DocSpace in the browser, you need to enter your DocSpace credentials (refer to the Authorization settings).

3. In your DocSpace, go to Developer Tools -> JavaScript SDK. In Enter the address of DocSpace to embed section, add the URLs of both your Pipedrive and DocSpace app accounts.

You can find the links to copy in the app settings in Pipedrive: Tools and apps -> Marketplace apps -> ONLYOFFICE DocSpace -> Settings -> Connection.

4. Then, go to Tools and apps-> Marketplace apps -> ONLYOFFICE DocSpace -> Settings -> Connection. Fill in the DocSpace Service Address field and click Connect.

5. Once the Connection settings are configured, go to the Authorization tab and enter the DocSpace login and password*.

6. Invite your Pipedrive users to the DocSpace using the Accounts section.

*For users with the Deal Admin role, the System User checkbox is shown. By default, if no user who has installed the DocSpace app is a System User, this checkbox will be enabled and cannot be disabled. Until a System User is set, other DocSpace users cannot log in.

For regular Pipedrive users

Regular Pipedrive users need to be invited to DocSpace by the admin. Then, such users will be able to log in to the DocSpace app.
