Setting up the integration

Let’s see how to set up the integration using the example of the Zap template “Attach new ONLYOFFICE DocSpace files to Asana tasks” to automate file attachments between the two platforms.

Step 1. Sign into Zapier

Start by signing into your Zapier account. If you don’t have one, create a new free account. Once logged in, you will be redirected to your dashboard to begin setting up your integration.

Step 2. Add DocSpace and Asana apps

Now, you need to add apps to your Zapier. To do this:

  • On the Zapier dashboard, go to the Apps section on the left-side panel.
  • Click + Add connection and search for ONLYOFFICE DocSpace in the list.
  • Provide your DocSpace URL, email, and password to authorize the connection. To connect, click Yes, Continue to ONLYOFFICE DocSpace.

After these steps, ONLYOFFICE DocSpace will appear in your list of connected apps on Zapier.

If Asana is not connected to Zapier, follow the steps above to add the application.

Step 3. Select a Zap template

Go to the ONLYOFFICE DocSpace Zapier page, where you will find pre-configured Zaps. From the available templates, choose “Attach new ONLYOFFICE DocSpace files to Asana tasks” or another one you want to apply.

Click Try it to continue.

Step 4. Set up the trigger

The trigger determines when the automation will begin. In this case, the Zap will activate whenever a new file is added to a room in ONLYOFFICE DocSpace.

For the trigger to work correctly, select the room where the files will be created. Go to the Trigger tab and select Room ID and Folder ID (optional) from the drop-down list.

Besides, if you want to customize the trigger, you can set:

  • Event that will provoke the Asana action in the App & Event tab;
  • Account if you are connected to several DocSpace accounts.

Once it is set up, test it. Go to the Test tab and click Test trigger. If the test was successful, click Continue.

Step 5. Check the Zapier action

Since we are using the Attach new ONLYOFFICE DocSpace files to the Asana tasks model, Zapier must perform an additional action, namely downloading the created document from DocSpace. This action will be done automatically.

As in the previous step, customize the following settings:

  • The room where the file is located;
  • The folder where the file is located (optional);
  • The file ID.

If everything is configured, go to the Test tab and click Test action. To go to the next step, choose Continue.

Step 6. Configure the action

Next, check the configuration of the action that will happen in Asana when a new file is uploaded to DocSpace.

Here, it is important to set the Project and Task where the DocSpace file will be attached.

Then, click the Test step button. If the test is successful, click Publish.

That’s it! Your Zap is now set up, and you will automatically see attachments in Asana when you create a new file in your DocSpace.

Step 7. Test the Zap

Now let’s check how the model works in our applications. Сreate a new file in the mentioned room in DocSpace.

Go to your Asana account and see the document attached to the task.
